College of Engineering Laptop Loaning Policy

General Policy and Information

  • SWAT offers individual USB-C chargers and Windows laptops. SWAT does NOT offer tablets, styluses, or Mac laptops. 
  • SWAT provides loaners to:
    • Students
      • Engineering Majors
      • Engineering Minors
      • Non-Engineering students taking an Engineering course
      • Engineering Graduate Assistants for Instructional/Grading purposes
    • Engineering Faculty/Staff for
      • Instructional/Grading purposes
      • Engineering events (short-term, bulk loan)
    • Engineering organizations
      •    Engineering events (short-term, bulk loan)

Returns

  • All loaned equipment must be returned in-person to 2080 Torgersen Hall.
  • Equipment may NOT be handed off to be returned by a third party.
  • If the equipment cannot be returned on-time, the requestor MUST email swat@vt.edu prior to the original due date to arrange a late return.
  • Due date reminders are sent from vt4help@service-now.com. Please add this email to your contact list to prevent it from going to your Junk folder.
  • Students who do not return loaners on time and do not email swat@vt.edu may become ineligible for loaners in the future
  • Additionally, the SWAT office may request an Administrative Hold on the student’s account. All grades, degrees confirmation, and/or class registrations will be held until the equipment is returned.

Types of Loans

Emergency / Short-term Loans

Students may request a short-term loaner for up to a one (1) week duration.

  • Students may convert these loans to a Service Loan by providing Proof of Repair/Purchase documentation as noted in the Service Loan section 

Service Loans

Students who have sent their machine off for maintenance or repair may request a service loaner from SWAT. The following conditions apply:

  • The student must show either: 
    • Proof of repair, i.e., email from vendor with Return Merchandise Authorization (RMA) number or University Bookstore Service Center claim ticket.
    • Proof of purchase and expected delivery date of a device
  •  Loaner period is three weeks (21 calendar days) from date of check out.
  •  The loaner period may be extended on a case-by-case basis. One of the following must be provided and will be reviewed:
    • Information from the manufacturer or authorized service center explaining the status of the repair.
    • Information from the vendor confirming the delay in delivery.

 

Semester Loans

Semester long loans may be requested due to extenuating circumstances and/or hardships.

  • Semester loan requests are reviewed on a case-by-case basis and are subject to supply limitations.
  • Semester loans must be returned by the last day of exams, and may not be extended in-between semesters.

Bulk Loans

Faculty, Staff, and Student Organizations may request a Bulk Loan. Please fill out the Bulk Loan Form to get started. Then, submit a loan request for the number of laptops on our Equipment Loaning page.

  • Supplies are limited and are available at a first-come, first-served basis
  • Requests must be made at least two (2) weeks in advance
  • A Faculty or Staff sponsor is required for student organizations 

 

Engineering Faculty and Graduate Assistants Loaning Guidelines

  • Loans are available for instructional/grading purposes purposes only.
  • Loans are handled through the College of Engineering SWAT Office located at 2080 Torgersen Hall.
  • GA's MUST have a faculty member fill out the Laptop Loaner Request Form to sponsor their request.
  • GTA/GRA's MUST have an active contract with the College of Engineering in order to be eligible for a loan
  • Faculty members, please include the Class Number and the Name/Email of the GA this request is for.
  • Note: we no longer offer laptops with stylus capabilities
