College of Engineering Laptop Loaning Policy

General Policy and Information

  • SWAT offers individual chargers and Windows laptops. SWAT does NOT offer tablets, styluses, or Mac laptops. 
  • All loaned equipment must be returned in person to Torgersen Hall 2080
    • Equipment may NOT be handed off to be returned by a third party
  • If the equipment cannot be returned by the due date, the requestor must email swat@vt.edu with the expected date and time of return
  • Loan requests that have not been fulfilled within 7 days will be declined
    • They can be resubmitted if they are declined this way
  • SWAT provides loaners to:
    • Students
      • Engineering Majors
      • Engineering Minors
      • Engineering course students
      • Engineering organizations
      • Engineering Graduate Assistants for teaching/classroom purposes
    • Engineering Faculty/Staff for teaching/classroom purposes

Service Loans 

Students who have sent their machine off for maintenance or repair may request a service loaner from SWAT. The following conditions apply:

  • The student must show proof of repair, i.e., email from vendor with Return Merchandise Authorization (RMA) number or University Bookstore Service Center claim ticket.
  • OR the student must show proof of purchase and expected delivery date of a device
  •  Loaner period is three weeks (21 calendar days) from date of check out.
  •  The loaner period may be extended on a case-by-case basis and must be validated with information from the manufacturer or authorized service center explaining the status of the repair.
    • If extended to the end of the semester, loaners must be returned within 72 hours of receipt of repaired machine, or by the commencement date of the semester, whichever comes first.
  •  Equipment not returned by the scheduled time will also result in the student being placed on a block list, preventing said student from receiving loans in the future.
    • Additionally, the SWAT office may request an Administrative Hold. All grades, degrees conferred and/or class registrations will be held until the equipment is returned.
    • Theft charges may also be pressed by the State of Virginia

Short-term Loans

Students may request a short-term loaner for up to a one (1) week duration. 

  • Students may convert these loans to a Service Loan by providing Proof of Repair/Purchase documentation as noted in the Service Loan section 
  • Students who do not return loaners on time and do not email swat@vt.edu will be ineligible for short-term loaners in the future, and potentially banned from all loans entirely

Semester Loans

Students may request a Semester loan by filling out the Semester Loan Form and requesting a loaner through the COE Equipment Loaning page.    

  • Semester loan requests are reviewed on a case-by-case basis and are subject to supply limits
  • The loaner period is through the last day of classes of each semester, before Finals week begins
    • Students may request an extension through the day of their last final by emailing swat@vt.edu
  • Failure to return the loaner on time will result in being barred from receiving loaners from SWAT
    • Additionally, an Administrative Hold may be placed on your VT account until the equipment is returned

Bulk Loans

Faculty, Staff, and Student Organizations may request a Bulk Loan. Please fill out the Bulk Loan Form to get started. Then, submit a Bulk Loan request on our Equipment Loaning page.

  • Supplies are limited and are available at a first-come first-serve basis
  • Requests must be made at least one (1) week in advance
  • A Faculty or Staff sponsor is required for student organizations 
  • Bulk Loaner laptops, by default:
    • Are prepared with Windows 11 and basic browsers 
    • Will reset to an original state upon restart 

 

Engineering Faculty and Graduate Assistants Loaning Guidelines

  • Loans are available for instructional support purposes only.
  • Loans are handled through the College of Engineering SWAT Office located at 2080 Torgersen Hall.
  • GA's MUST have a faculty member fill out the Laptop Loaner Request Form to sponsor their request.
  • GTA/GRA's MUST have an active contract with the College of Engineering in order to be eligible for a loan
  • Faculty members, please include the Class Number and the Name/Email of the GA this request is for.
  • Note: we no longer offer laptops with stylus capabilities
